Stamp of Approval: Why Ink Beats Embossers for Notary Seals in Washington


Notaries are required to use an official seal when notarizing physical documents. But did you know there are two main types of seals? Ink stamps and embossers! Here’s a quick rundown on the difference—and why I personally love using an ink stamp for my Notary work.


Ink Stamps are the most common choice, leaving a clear, inked impression with all the important Notary info: my name, the state I’m commissioned in, and my commission expiration date. These are quick, easy, and ready to go—perfect for efficient notarizing!


Embossers, on the other hand, create a raised impression by crimping the paper. While they look fancy, the embossing doesn’t show up well in photocopies. To make it visible, you’d need to take an extra step, like adding ink or foil. And honestly, who has time for that when you’re busy? That’s why I stick with an ink stamp—no fuss, and the document is photocopy-ready right away!


Here in Washington, I’m allowed to choose either type of stamp, but I prefer the use an ink stamp, which keeps things simple and hassle-free.


Technically, there’s also a third type of Notary seal—the electronic seal! This digital version is used for notarizing electronic documents, and while it doesn’t involve ink or embossing, it’s just as official, using advanced technology to ensure security and authenticity.
